1. About this Privacy Policy

This Privacy Policy explains how Pathway Select collects, holds, uses and discloses personal information when you visit our website, communicate with us, use Morrow, request pathway guidance, seek placement support, book a consultation or ask us to connect you with an education or service provider.

In this policy, “Pathway Select”, “we”, “us” and “our” refer to the operator of the Pathway Select service and website. Pathway Select is an independent education pathway guidance and referral service based in Victoria, Australia. It is not a registered training organisation, education provider or government agency.

We aim to handle personal information consistently with the Privacy Act 1988 (Cth), the Australian Privacy Principles and other applicable Australian laws. This policy does not reduce any rights you may have under law.

2. Scope

This policy applies to personal information handled through:

  • pathwayselect.com.au and related Pathway Select pages;
  • Morrow, our AI-assisted pathway adviser;
  • enquiry, eligibility, funding, placement and consultation forms;
  • email, SMS, telephone and other communications;
  • provider or placement referrals made with your permission; and
  • events, consultations and service interactions operated by Pathway Select.

Third-party providers and websites have their own privacy practices. Their policies apply when they collect or handle information independently from Pathway Select.

3. Personal information we may collect

Information you provide

Depending on the service you use, we may collect your name, email address, telephone number, suburb, postcode, age range, preferred contact method, citizenship or residency category, employment circumstances, education history, study interests, career goals, availability, preferred location, delivery preferences and information relevant to course or placement suitability.

When you seek placement support, we may also collect information about your current course, education provider, completed units, placement requirements, availability, checks, licences or documents you tell us you hold.

Morrow and consultation information

We may collect questions, answers and conversation records provided through Morrow or during a consultation. This may include the circumstances, goals and preferences you choose to share so that we can provide a more relevant response or arrange human follow-up.

Technical and usage information

We may collect IP address, browser and device information, approximate location derived from technical signals, pages viewed, referring pages, session information, interaction events, security logs, cookie identifiers and information about how the website and our tools are used.

Information from other people or organisations

With appropriate authority, we may receive information from a parent, guardian, authorised representative, education provider, placement partner, referral partner or service provider. We may also use public and authoritative course or occupation information from government and industry sources.

4. Sensitive information

Some information may be sensitive under Australian privacy law, including health information, disability information, racial or ethnic origin, or details about checks and clearances. Do not provide sensitive information unless it is reasonably required for the service and you are comfortable doing so.

Where sensitive information is required, we will seek consent or rely on another lawful basis. We aim to collect only what is reasonably necessary. Do not upload identity documents, medical records, police checks or other high-risk documents unless Pathway Select specifically provides a secure and authorised method for that purpose.

5. How we collect information

We may collect information directly from you through forms, Morrow conversations, emails, calls, consultations, surveys, event registrations and other service interactions. We may also collect technical information automatically through Shopify, Cloudflare, analytics, security and related technologies.

Where practical, you may browse general website content without identifying yourself. Some personalised services cannot be provided without sufficient information to understand and respond to your request.

6. Why we use personal information

We may use personal information to:

  • respond to enquiries and provide pathway guidance;
  • identify courses, occupations, funding pathways or support options that may be relevant;
  • operate Morrow and improve the quality and safety of its responses;
  • assess whether a human adviser should follow up;
  • provide placement support or consultation services;
  • make a referral to a selected provider or partner where you have agreed;
  • manage consent, preferences and communications;
  • maintain records of advice, enquiries and service outcomes;
  • analyse website performance and improve our services;
  • detect misuse, fraud, security incidents or technical problems;
  • comply with legal obligations and respond to lawful requests; and
  • protect the rights, safety and legitimate interests of users, partners and Pathway Select.

We will not use information for an unrelated purpose unless you consent or the use is otherwise permitted by law.

7. Morrow and AI-assisted processing

Morrow uses automated and AI-assisted processes to interpret information you provide, retrieve relevant pathway information, rank options and generate responses. Morrow may produce incomplete or incorrect information and does not make final enrolment, funding, placement, employment, licensing or immigration decisions.

Conversation data may be reviewed by authorised people or systems for quality, safety, service improvement and follow-up. Important decisions should be confirmed with the relevant provider or authority. Further information appears in our Morrow AI Transparency Statement.

8. When we may disclose information

We may disclose personal information to:

  • education providers, registered training organisations, placement organisations or other partners you have asked or agreed to be connected with;
  • technology, hosting, analytics, communications, security, customer-management and professional service providers that support our operations;
  • authorised staff, contractors and advisers who need the information to perform their role;
  • a parent, guardian or authorised representative where you have authorised the disclosure or it is otherwise appropriate and lawful;
  • regulators, courts, law-enforcement bodies or other authorities where required or permitted by law; and
  • a successor or potential successor in connection with a genuine business restructure, subject to appropriate confidentiality and legal safeguards.

We do not sell personal information as a standalone product. We may receive a commercial benefit when a student proceeds with a referred partner. That commercial arrangement is explained in our Provider Referral and Commercial Disclosure.

9. Overseas processing and service providers

Some technology providers may store or process information outside Australia or use distributed infrastructure. The countries involved may vary according to the provider and configuration used. We take reasonable steps to select reputable providers and apply suitable contractual, technical and access controls where appropriate.

Internet and cloud services cannot be guaranteed to remain entirely within Australia. Contact us before providing information if overseas processing is a material concern for you.

10. Direct marketing and service communications

We may send service communications needed to respond to an enquiry, manage a booking, complete a referral or provide information you requested. We send promotional email or SMS communications only where we have an appropriate basis, such as consent, and we provide a practical way to unsubscribe.

You can opt out of marketing at any time. Opting out of marketing does not prevent us from sending necessary service or administrative communications. See our Cookie and Communications Policy.

11. Cookies, analytics and website technologies

We use cookies and related technologies to operate the website, maintain sessions, remember preferences, understand performance, improve content, protect the service and measure enquiries or conversions. The technologies actually used may change as the website develops.

You can control many cookies through browser settings, although disabling essential technologies may prevent parts of the website or Morrow from working properly.

12. Security

We use reasonable administrative, technical and organisational safeguards designed to protect personal information against loss, misuse, unauthorised access, interference, alteration and disclosure. Measures may include access controls, authentication, encryption in transit, logging, backups, provider due diligence and limiting access according to role.

No website, email system, cloud platform or transmission method is completely secure. Tell us promptly if you believe information associated with Pathway Select has been compromised.

13. Retention and deletion

We retain personal information for as long as reasonably necessary for the purpose for which it was collected, to manage consent and service records, resolve complaints, meet legal or accounting obligations, protect legitimate interests and improve safety or quality.

Retention periods vary according to the information and service. When information is no longer reasonably required, we may delete it, de-identify it or securely archive it where continued retention is legally permitted or required.

14. Access and correction

You may ask to access personal information we hold about you or request correction if it is inaccurate, out of date, incomplete, irrelevant or misleading. We may need to verify your identity before acting on a request.

There may be circumstances where access is restricted by law. If we refuse a request, we will explain the reason where legally permitted and outline available complaint options.

15. Anonymity and pseudonyms

Where practical, you may interact with general information anonymously or using a pseudonym. We may require accurate identifying or contact information where it is impracticable to provide the requested service without it, including personalised follow-up, provider referrals, placement assistance or identity-sensitive matters.

16. Privacy complaints

Send privacy questions or complaints to support@pathwayselect.com.au or through our contact page. Include enough detail for us to understand the concern, but do not email unnecessary identity or health documents.

We will acknowledge and assess the complaint under our Complaints, Feedback and Review Policy. If you are not satisfied with our response, you may have the right to contact the Office of the Australian Information Commissioner or another appropriate regulator.

17. Changes to this policy

We may update this policy when our services, technologies, partners or legal obligations change. The current version and updated date will be published on this page. Material changes may also be communicated through the website or directly where appropriate.
